Frequently asked questions
What is your typical process for working with a new customer?
Hi there! When I first reach out to a new client I like to talk about their event. I want to get a clear idea about the scope of the project, what their wants and needs are, and what expectations do they have of me as their event planner. With that information I put together detailed proposals, usually within 24hrs, although complicated events with many moving parts may take slightly longer. A proposal may include vendors, venues, decor/themes, entertainment, catering, etc, and will have an estimated budget. I am happy to talk over the phone, through internet, or even meet the client in person to go through proposals. Once a proposal had been customized and accepted, I will send periodic updates to keep the client appraised about progress and updates. My rates are dependent on the individual event, but typically total $600-$1500 for planning and day of coordination.
Do you have a standard pricing system for your services? If so, please share the details here.
Each event is unique, as are the expectations of me as an event planner. Because of that services may be priced differently from one event to the next.
I am very budget conscious. If there is a hard limit to an event budget, I will adjust event proposals accordingly. I work to make sure each dollar spent results in good value.
Typically for small event my fees range from $400-1200 depending on my role. Larger events my fees range from $650-2000+
When planning an event, I require a deposit in order to book vendors/venues/etc. The balance is due within 24 hrs of completion of the event.
These are event planning and coordination fees, a proposal will include these fees, plus the cost of any vendors. All costs will be included up front, and you never have to worry about cost surprises once we have agreed to a proposal.
How did you get started in this business?
I started out as a meet director for gymnastics competitions. After nearly a decade planning competitions, including multiple state championships, I began to slowly branch out, planning a skateboarding contest, a few small festivals, and a youth team awards banquet. Shortly after that I began learning flower arranging and planning parties for friends and family. I eventually began to work with entertainment vendor Aqua Acro working events all throughout South Texas, which gave rise to South Texas Events, which I run today.
What types of customers have you worked with?
I have worked with all types of customers and worked on all types of events.
What advice would you give a customer looking to hire a pro in your area of expertise?
Be very clear about what you expect from your planner, and be sure they communicate clearly about what services they will provide. Even a small misunderstanding in the beginning can have an outsized impact later on.
What questions should customers think through before talking to pros about their needs?
Think about what your goals are for this event. Do you want a relaxing evening for your adult friends? Are you trying to keep all the kids at a birthday party engaged and tired when they leave? Are you trying to make a certain neighbor jealous (yes, that has happened)?
These types of things can help a professional game plan for the situation effectively.
Also have an idea of budget. This has the largest impact on every aspect of an event. A small budget can produce an amazing event, but a delicious chicken dish with tea/lemonade will cost much less to plan than a filet and wine.
